HubSpot Integration Setup
Connect Emaissary to HubSpot so your approved outreach shows up in your CRM automatically.
What the integration does
Once connected, Emaissary keeps HubSpot up to date as your outreach progresses — you never copy-paste activity into your CRM:
- Contacts — prospects you approve outreach for are created (or matched) as HubSpot contacts.
- Deals — when a prospect replies and is handed off, a deal is created so your pipeline reflects it.
- Activity — sent emails are logged on the contact, and notes and follow-up tasks are created where relevant.
Everything is scoped to you: Emaissary only reads and writes records owned by the HubSpot user that connected the integration, in that user's portal.
Prerequisites
- An Emaissary account on the Pro or Team plan (see pricing).
- A HubSpot account where your Emaissary login email matches a HubSpot user in that portal — records are assigned to you as owner, so the user must exist.
- Permission to install apps in your HubSpot portal (a Super Admin can grant this).
Connect in three steps
- In Emaissary, open Settings → Integrations and click Connect HubSpot.
- HubSpot asks you to choose a portal and approve the requested permissions. Review them and click Connect app.
- You're redirected back to Emaissary — the HubSpot card shows Connected with your portal ID. Use Test on the card any time to verify the connection.
Data shared with Emaissary
The integration requests the minimum HubSpot permissions it needs:

Emaissary never reads records owned by other users in your portal, and never deletes HubSpot data. See our Privacy Policy for how we handle your data generally.
Disconnecting
In Settings → Integrations, click Disconnect on the HubSpot card. This deletes the stored connection immediately; Emaissary stops syncing and can no longer access your portal. You can also revoke access from HubSpot under Settings → Integrations → Connected apps.
Troubleshooting
- "No matching owner" after connecting — your Emaissary login email doesn't match any user in the connected HubSpot portal. Add that user in HubSpot (or log in to Emaissary with the matching email) and reconnect.
- Connection shows an error state — click Test on the card; if it fails, disconnect and reconnect to refresh authorization.
- Records not appearing — sync runs shortly after outreach events (approval, send, reply). Check that the prospect actually reached the relevant stage, then use Test to confirm the connection is healthy.
